The Monthly GST Filing Checklist We Use

Why filings go wrong

Late or mismatched GST filings are almost always a process problem, not a knowledge problem. The businesses that stay clean aren't smarter about GST — they run the same short checklist every month, without exception.

Reconcile before the month closes

Reconcile every sales invoice against your books before the month closes. Match input tax credit claims against GSTR-2B — the auto-populated statement from your suppliers' filings — rather than trusting your own purchase register alone. Mismatches here are the single biggest source of GST notices.

The two dates that matter most

File GSTR-1 by the 11th of the following month, and GSTR-3B by the 20th. Build in a buffer before each — don't file on the deadline itself. Generate e-way bills and e-invoices in real time as transactions happen, not in a batch at month-end.

A quarterly check catches what monthly filing misses

Do a quarterly reconciliation between what you've filed and what your books actually show. Small mismatches compound if left unchecked for two or three quarters, and become much harder to explain to a notice than they would have been to fix in month one.

A worked example

A small D2C seller files GSTR-3B on time every month but skips the GSTR-2B match, trusting their own purchase log instead. Eight months in, a supplier's late filing creates a ₹40,000 ITC mismatch the seller never noticed — because they were checking the wrong number against the wrong number. The fix took an afternoon; catching it eight months earlier would have taken ten minutes.

What happens if I file GSTR-3B a few days late?

Late fees and interest apply from the due date, and it can affect your compliance rating on the portal. It's rarely catastrophic once, but it's worth treating as a hard deadline, not a soft one.

Why does GSTR-2B matter more than my own purchase register?

Your input tax credit is only valid to the extent your suppliers have actually filed and reported it. GSTR-2B reflects what they've filed — reconciling against it, not just your own records, is what actually protects your ITC claim.

Can I automate this checklist?

Much of the reconciliation can be — accounting software handles GSTR-2B matching for many businesses. The monthly discipline of actually reviewing the output before filing is the part that stays manual.
